The terms under which you may use Core DC Flow.

These Terms & Conditions ("Terms") govern your use of the Core DC Flow application ("the Service"), operated by Core DC Flow ("we", "us", or "our"). By creating an account or using the Service, you agree to be bound by these Terms.

1. Service Description

Core DC Flow is a multi-tenant Software-as-a-Service (SaaS) platform that enables companies operating in data centre environments to manage employee training records, track certification compliance, generate audit reports, and receive automated notifications about expiring or overdue training.

2. Account Registration

  • You must provide accurate and complete information during registration, including your company name and your full name.
  • You are responsible for maintaining the security of your account credentials.
  • Each company registers independently; data is isolated per company (tenant).
  • Administrators are responsible for managing user access within their organisation.
  • You must be at least 18 years old to register and use this Service.

3. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of applicable South African laws.
  • Attempt to access another company's data or circumvent security controls.
  • Upload malicious files or content that infringes on intellectual property rights.
  • Share your account credentials with unauthorised individuals.
  • Use the Service to store non-work-related or prohibited content.
  • Reverse engineer, decompile, or attempt to extract the source code of the application.

4. Subscriptions & Billing

We offer the following subscription plans:

  • Premium Monthly: R499.00 per month, billed monthly via PayFast.
  • Premium Annual: R4,990.00 per year, billed annually via PayFast (save 2 months).

Additional billing terms:

  • 7-Day Free Trial: New subscribers receive a 7-day free trial with full Premium access. No payment is required during the trial period.
  • Payments are processed securely through PayFast, our authorised payment provider.
  • Subscriptions auto-renew unless cancelled before the next billing date.
  • You may cancel your subscription at any time from the Subscription management page within the app.
  • Refunds are handled in accordance with our Refund & Cancellation Policy.

5. Cancellation

You may cancel your subscription at any time by navigating to the Subscription page within the app and clicking "Cancel Subscription." Upon cancellation:

  • Your subscription remains active until the end of the current billing period.
  • No further charges will be applied after cancellation.
  • Your account will revert to read-only mode after the billing period ends.
  • You may resubscribe at any time to restore full Premium access.

6. Data & Privacy

Your use of the Service is also governed by our Privacy Policy, which is compliant with the Protection of Personal Information Act (POPIA). You retain ownership of all data you upload and are responsible for ensuring you have the right to store and process employee information in accordance with applicable data protection laws.

7. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted service. Scheduled maintenance, updates, or events outside our control may cause temporary downtime. We are not liable for any losses arising from service unavailability.

8. Intellectual Property

The application, its design, features, branding, and content are the intellectual property of Core DC Flow. You may not copy, modify, distribute, or redistribute the software without prior written permission.

9. Limitation of Liability

The Service is provided "as is" and "as available" without warranties of any kind, express or implied. We are not liable for indirect, incidental, special, or consequential damages arising from the use of the application. Our total liability shall not exceed the amount you have paid in the preceding 12 months.

10. Indemnification

You agree to indemnify and hold Core DC Flow harmless from any claims, damages, or expenses arising from your misuse of the Service, your violation of these Terms, or your infringement of any third-party rights.

11. Termination

You may cancel your account at any time. We reserve the right to suspend or terminate accounts that violate these Terms, pose a security risk, or remain inactive for extended periods.

12. Changes to Terms

We may update these Terms & Conditions periodically. Continued use of the Service after changes constitutes acceptance of the revised Terms. We will notify users of significant changes through the application or via email.

13. Governing Law

These Terms are governed by the laws of the Republic of South Africa. Any disputes shall be resolved in the appropriate courts of South Africa.
